Job Responsibilities:
We currently have an exciting opportunity for an administrative professional to provide Administrative Assistant support in the Vancouver office. The successful candidate will be supporting the BC region working in the Geotechnical & Environmental Remediation Business Support group. The Administrative Assistant will be a key member of the administration team and will primarily responsible for supporting the group with day to day Administrative support as well as Word Processing support. In addition, duties will include but will not be limited to:
* General Administrative Support
* Travel arrangement support, as directed by supervisor
* Respond to administrative process inquiries (how-to; who to go to for what)
* Support office/workstation moves
* Coordinate Operating Unit/Group events
* General filing
* Order & stock stationary
* Mail/courier packages
* Provide back-up support in document production/word processing (if need is identified), as required
* Provide support to the Operations Lead/Group Leads and Operations Administrator, as required
* Maintaining group level records and adhering to electronic filing guidelines
* Project Support
* Project related filing and scanning;
* File project material and close projects (physical files, electronic files, accounting files)
* Assist project managers and project directors with Golder Associates Integrated Management System (GAIMS) or ISO (when applicable) compliance for audits
* Support for tracking/scanning prebills
* Support for group/project Collaboration Workspace (CWS), Project Workspace (PWS), Team and Group Sites using SharePoint
* Utilize Microsoft Dynamics Client Relationship Management software to open opportunities, proposals and projects as well as update client information
* Meeting Support
* Scheduling Skype meetings, boardrooms in various offices and conference calls
* Assist with ordering catering for meetings
* Taking meeting notes and circulating
* Word Processing Support
* Preparation, data entry, editing and formatting of letters, reports, proposals, spreadsheets, CV's and other documents
* Ensuring that all documents adhere to company regulated quality standards and standardized templates
* Using Adobe Professional creating and compiling PDF documents from Word, Excel, PowerPoint, etc.
* Setting up SharePoint project sites

Job Requirements:
The successful candidate will possess the following qualifications and skills:
* A good attitude
* Advanced knowledge of Microsoft Word, Excel, PowerPoint, Outlook and other MS Office programs
* Knowledge of Office 365 and specifically SharePoint would be an asset
* A minimum of 1-3 years providing administrative support in a professional office environment;
* Knowledge of engineering consulting and/or related industries is an asset;
* Graduate of business administration course/program is preferred;
* Superior customer service skills;
* Positive team player and support-oriented attitude;
* Flexibility and high degree of multi-tasking ability;
* Excellent organizational & time management skills (prioritizing, record keeping, follow up);
* Good communication skills (both oral and written);
* A friendly, pleasant manner,
* Excellent spelling, grammar and proofreading skills;
* Strong attention to detail;
